Responsibilities of Event Sponsors

  • Consider the appropriateness of your event for the library environment
  • Submit request form in advance
  • Some events can be accommodated on short notice (1-2 days); others require lead time of a week or more; please consult guidelines for specific spaces for more information


  • Schedule and oversee set-up
  • Certain set-up needs require coordination with other campus offices; library staff can advise you, but such arrangements are the responsibility of the event sponsor
  • The library provides only minimal assistance with set-up, primarily to put out requested furniture and display equipment kept in storage


  • Clean up all trash, food items, etc.
  • Return space(s) used to their usual, everyday set-up
  • The library will return furniture and display equipment to storage areas


  • Arrange for equipment needs with appropriate campus offices


  • Arrange catering, if desired
  • Catering arrangements must comply with library building use guidelines and with library and College policies on food and drink, including alcoholic beverages


  • Discuss any security concerns and needs with library staff during event planning

Additional sponsor responsibilities

  • Event staffing
  • Event publicity (library may assist, depending on event)
  • Parking arrangements
  • Expenses and fees
